Job Description

HYBRID: 3 days in the office, 2 days remote

Key Responsibilities:

• Invoice Processing & Approval: Review and verify vendor invoices for accuracy, ensuring proper pricing, quantities, and purchase order matching before authorization.
• Vendor Management: Establish and maintain strong relationships with suppliers, negotiate favorable payment terms, and resolve any invoice discrepancies or payment disputes.
• Payment Processing: Ensure timely vendor payments through electronic transfers, checks, or other approved methods while complying with company policies and payment schedules.
• Financial Reporting: Prepare and analyze accounts payable reports, including aging summaries, to track outstanding liabilities and identify cash flow considerations. Prepare projections for budgeting/forecasting to assist with cash flow planning.
• Team Leadership & Development: Supervise and mentor a team of accounts payable specialists, assigning tasks, reviewing performance, and providing training on compliance and best practices.
• Regulatory & Compliance Management: Ensure adherence to industry regulations, tax laws, and internal financial controls related to accounts payable.
• System & Process Optimization: Manage and improve the accounts payable system, ensuring efficient data entry, accurate coding, and timely reconciliations.
• Cost Control & Analysis: Identify cost-saving opportunities, such as leveraging early payment discounts or improving vendor payment terms.
• Cross-Department Collaboration: Work closely with purchasing, finance, and operations teams to ensure seamless invoice processing and financial accuracy.
