Job Description

Take charge of overseeing and organizing the day-to-day operations for a premier, Class A mixed-use property spanning one million square feet. This high-profile space comprises office, retail, and parking facilities. Reporting to the AVP of Commercial Property Management and working closely with the Property Manager, you'll play a key role in enhancing the value of the property while ensuring smooth operations. In the Property Manager's absence, you’ll lead decision-making to ensure business continuity within an established framework. The position requires a proactive individual who can work both independently and collaboratively, escalating issues and keeping leadership informed of progress.

Key Responsibilities

  • Team Leadership and Coordination : Manage daily workflows for on-site teams, ensuring maintenance, engineering, and operational tasks meet property standards and expectations. Lead and allocate resources effectively.
  • Budget Oversight : Assist in preparing annual operating plans, capital budgets, and forecasts. Track and evaluate financial performance, ensuring budgets are adhered to and variances are addressed.
  • Policy and Process Management : Develop, implement, and review operational policies and procedures to drive consistency and efficiency in property management. Update practices as needed.
  • Financial Administration : Oversee property accounting functions, including reviewing and coding invoices for accuracy. Navigate operating expense reconciliations and prepare financial reporting as necessary.
  • Vendor and Contractor Supervision : Manage relationships with vendors and contractors, ensuring satisfactory performance. Handle contracting, negotiations, and dispute resolution for services such as security, landscaping, janitorial, and waste removal.
  • Property Inspections and Maintenance : Conduct routine building inspections to identify and remedy deficiencies. Collaborate with the property management team to develop action plans for corrective measures.
  • Tenant Relations : Foster strong relationships with tenants by addressing requests promptly, supporting lease transitions, and coordinating tenant improvement projects. Keep tenants informed and engaged while enhancing the tenant experience to support retention.
  • Community and External Representation : Serve as the property’s key point of contact with tenants, service providers, prospective tenants, and local authorities, reflecting the values of the property and its ownership group.
  • Capital Improvement Projects : Oversee special projects, construction, or enhancement initiatives. Evaluate contractors and materials to ensure quality and compliance with building standards.
  • Emergency Planning : Assist in creating Fire and Life Safety Plans, Business Continuity Plans, and emergency response protocols for potential scenarios like equipment failure or weather-related damages.
  • Communication and Reporting : Maintain clear communication channels with tenants, vendors, ownership, and team members. Provide regular updates and feedback on property activities and assignments.
  • Other Duties : Take on additional tasks as assigned to support overall property management operations.

Requirements:

• Proven experience in property management, particularly with commercial properties.

• Strong knowledge of property management software and tools.

• Familiarity with budgeting, financial reporting, and expense reconciliation processes.

• Demonstrated ability to oversee vendor and contractor performance.

• Excellent communication and interpersonal skills to manage tenant relations effectively.

• Experience with construction projects and capital improvements is a plus.

• Solid understanding of commercial leasing and agreements.

• Ability to handle multiple tasks and prioritize in a fast-paced environment.
